We have an exciting opportunity for an experienced and skilled administrator to join our team in our Central office in Fulham (South West London), who is passionate about delivering excellent customer service that has our clients at its centre!

Role and Responsibilities

Ideally, we are looking for someone who lives locally, approximately 30 minutes away by public transport or within walking distance from our office in SW6.

As the initial point of contact for both clients and new potential clients, this position requires strong customer service abilities for handling phone calls and email correspondence. The Practice Administrator is pivotal in supporting the Practice Manager with daily operations and providing administrative help to the team of Physiotherapists.

  • Provide outstanding customer service to both current and prospective clients.
  • Respond to enquiries by phone and email in a timely and professional manner.
  • Supervise the onboarding process for new clients.
  • Efficiently manage diaries for the Therapist team, aiming to minimize travel time and costs while maximizing schedule occupancy.
  • Address objections during initial enquiries to convert prospects into clients.
  • Handle financial responsibilities such as allocating payments, managing invoices, and overseeing debt collection.
  • Perform administrative tasks related to patient records, including filing and document organization, with a focus on accuracy and confidentiality.
  • Conduct regular follow-ups with clients to increase appointment occupancy.
  • Process appointment cancellations in line with Physit’s Terms and Conditions.
  • Communicate with third-party providers, including insurance companies and medical partners.
  • Monitor and maintain appropriate stock and stationery levels and perform regular inventory checks.
  • Open and close the office as required.
  • Must be flexible with working hours to accommodate cover for holidays

Essential skills

  • Educational Qualifications Good Standard of Education to GCSE standard or equivalent.
  • Previous experience in secretarial/admin role.
  • Excellent interpersonal and communication skills.
  • Ability to deal with conflict and maintain patience and diplomacy at all times.
  • Excellent time management and organisational skills and flexibility to be able to adapt to the changes in priorities during day.
  • Ability to work accurately and thoroughly under pressure without direct supervision and manage and prioritise own workload effectively
  • Proficiency in using Windows and Microsoft Office Suite, especially Excel, Teams, and Outlook, is required.
