Established in 2012, Physit Physiotherapy set out to meet the increasing need for in-home treatment for individuals immobilized by injury or surgery. We have since delivered high-quality care not only in homes but also in care facilities and workplaces.

We are looking for friendly, and professional administrator to join our team in our Central office in Fulham (South West London), who wants to grow with our business.

Role and Responsibilities:

Ideally, we are looking for someone who lives locally, approximately 30 minutes away by public transport or within walking distance from our office in SW6.

As the first point of contact to our existing clients and new enquiries, this role requires excellent customer service skills when answering phone calls and responding to emails. 
The Practice Administrator will play a crucial role in aiding the Practice Manager with the daily operations of the practice and will also offer administrative assistance to the team of Physiotherapists.

  • Deliver exceptional customer service to both existing and potential new clients.
  • Respond to enquiries over the telephone and in written communication through emails.
  • Oversee the onboarding of new clients.
  • Manage diaries for the Therapist team (ensure patient diaries are managed efficiently, minimizing travel times and costs while maximizing occupancy).
  • Overcome objections when dealing with new enquiries to turn prospects into clients.
  • Perform financial duties, including payment allocation, client invoice management, and debt management.
  • Carry administrative tasks related to patient records, such as filing and document management, while ensuring accuracy and confidentiality.
  • Carry out regular client follow-up activities to increase occupancy.
  • Handle appointment cancellations according to the cancellation policy.
  • Liaising with third party providers (i.e. insurance providers, medical partners).
  • Maintain inventory levels of stock and stationery, and conduct stocktakes.
  • Opening and closing the Office.
  • Must be flexible with working hours to accommodate cover for holidays, as needed beyond the advertised hours.

Essential skills:

  • Educational Qualifications Good Standard of Education to GCSE standard or equivalent.
  • Previous experience in secretarial/admin role.
  • Excellent interpersonal and communication skills.
  • Ability to deal with conflict and maintain patience and diplomacy at all times.
  • Excellent time management and organisational skills and flexibility to be able to adapt to the changes in priorities during day.
  • Ability to work accurately and thoroughly under pressure without direct supervision and manage and prioritise own workload effectively
  • Proficiency in using a Mac and Microsoft Office Suite, especially Excel, Teams, and Outlook, is required.
